There are important steps for you to take in order to improve the security of your event and know what to do in the event of an emergency. Here are five tips to bear in mind when planning.

Provide Training

It is one thing to hire people that you know and assign them with a specific task, but that does not always mean that they are right for the job. The staff that is trained previously in security and safety measures are far more prepared to not only identify a threat but how to react properly in case of an emergency without causing a panic. In addition, you can also make the security staff a versatile part of your team.

Keep Guest List Secure

Whether it is a paper guest list or through an app, it is always important to keep the list of expected guests at the venue secure. Security at an event is not only for the physical benefit of those in attendance but also for data security. If a would-be on-looker were to take a peek at the list, they can easily impersonate somebody and say they are someone who is not. This can lead to further criminal activity and potential theft. Do not let your guest list be compromised, and ensure that it is in a safe place at all times to prevent this.

Have a Plan For Guest Check-In

The process of checking in is multi-faceted and is not simple as merely checking someone’s name off on a roster. There are plenty of factors that go into having a comprehensive check-in process. Here are some things you need to keep in mind:

  • Familiarize yourself with the exits
  • Keep unwanted guests out for security purposes
  • Make sure there is a route where all guests can leave in case of an emergency
  • Go through the list as if you were a guest and locate any potential pitfalls
  • If need be, verify those in attendance with proper identification

Keep Everything Simple

It may be impossible to stay on top of everything on the day of the event, but that is why you have comprised a team. The division of labor should extend to every member of the team so that no one person is overwhelmed. That being said, remember to keep things simple and not make the situation any more complex than it needs to be. Consider delegating a task to a point person who has all the know-how about the event to minimize confusion.
